Privacy policy

What the TPR Mike O website does with your details. Last updated .

Mike uses the details you share to provide requested resources, answer enquiries and arrange calls or events. Marketing emails are optional, and your details are never sold.

This website uses analytics to help improve it. Visit statistics run automatically; you can switch them off anytime through Privacy settings. Session recordings and heatmaps run only with your permission.

The sections below explain what is collected, how long it is kept and how to contact Mike.

Your enquiries

The forms ask for the details needed to help you, such as your name, email address, organisation, event plans or message. Mike uses your answers to respond and arrange the resource, call or event you requested.

Downloading the leaflet does not ask for your name or email address. The website’s download count is a number for each day and records nothing about who downloaded.

Earlier leaflet requests, made when the leaflet page asked for an email address, record that address, the request date and the leaflet version. Form submissions are stored in the website’s private inbox. Your marketing choice, its date and the wording you saw are also recorded.

Marketing emails

Updates about Mike’s speaking and workshops are optional. You only sign up by ticking the separate box. You can request a resource or send an enquiry without signing up.

To stop updates, use the unsubscribe link provided with them or email mike@tprmikeo.com. The website records withdrawals. Mike manages any mailing lists separately, so you can also contact him directly if an update reaches you after unsubscribing.

Website analytics

Visit statistics run automatically to measure pages and interactions. Session recordings and heatmaps show clicks, pointer movements, scrolling and page navigation, including how the page appeared, and run only with your permission. They help Mike find unclear content and problems with the website.

Form fields, forms, validation messages and submission confirmations are excluded from recordings. Recording addresses have query strings and fragments removed. Videos inside the YouTube player are not recorded.

Visit statistics and recordings are separate choices in Privacy settings: you can switch statistics off, allow recordings, or choose neither. Leaving settings unchanged keeps statistics on and recordings off.

Use Privacy settings at the bottom of any page to change your choices at any time. Switching a purpose off stops collection and discards its unsent data. It does not delete information already received; contact Mike to request deletion.

Your choices are saved in this browser. If your browser sends Global Privacy Control or Do Not Track, visit statistics start switched off; you can still switch them on in Privacy settings. The website, forms and videos work when analytics are declined or blocked.

Analytics details

Analytics use Umami, hosted at stats.tprmikeo.com on the website’s server. It does not set analytics cookies. Mike and the website maintainer can access the dashboard after signing in. Analytics are not shared with advertisers.

Visit statistics include page views, cleaned referring addresses and campaign labels; links, buttons and FAQ interactions; sections reached and estimated active time; scroll depth; form steps, field names with errors and submission outcomes; video plays and progress. They never include form answers.

Umami also processes browser and operating system type, device, screen size, language and approximate country, region and town. The server receives your internet address and browser information to derive location and a visitor code. It does not store your internet address in the analytics database.

The visitor code is derived from the website, internet address, browser details and a salt that changes each month. It can link activity and return visits within that period. This is a pseudonymous identifier, not a guarantee of anonymity. Individual activity is retained for 25 months: statistics run unless you switch them off in Privacy settings, while recordings and heatmaps need your explicit permission there.

Recordings need a technical session record with a visitor code and device and approximate location information. If you allow recordings alone, this supports recordings without sending separate page views, interaction statistics or performance measurements. Recordings and heatmaps are enabled for every permitted visit, subject to blockers; each recording capture lasts up to 10 minutes.

Statistics strip unapproved query parameters, fragments and personal-looking tokens from addresses, and clean email addresses and phone numbers from event text. Recordings remove query strings and fragments from recorded links and page addresses. The administration area, unsubscribe pages and private download links are excluded.

Browser storage and videos

The public website does not set its own cookies. Browser storage remembers your privacy and motion choices and supports forms. If statistics are on, temporary storage remembers which website button led to a form. Administration sign-in uses essential authentication cookies and an analytics exclusion setting.

Nothing loads from YouTube until you press play on one of Mike’s videos. The video then starts straight away in YouTube’s privacy-enhanced player (youtube-nocookie.com), and Google receives information such as your internet address and may use browser storage or cookies to provide it. Google’s own privacy policy applies to that.

Some testimonial videos play from this website itself. Nothing about watching those is sent to YouTube or Google. Playing any video does not change your analytics choices.

Who has access

Mike O, trading as TPR Mike O, is based in the UK and is responsible for your information. Mike and people authorised to maintain the website can access its private inbox and analytics. Hostinger provides the server hosting for the website and analytics.

Booking enquiries are also copied to a Google Form used by Mike’s team. Google processes those copies under its service terms.

The configured email service delivers form notifications to Mike’s team. Those messages contain the details needed to answer your enquiry.

Google and Hostinger may process information outside the UK. Hostinger’s published terms include standard contractual clauses and the UK transfer addendum where applicable. Google describes adequacy arrangements, the UK Extension to the Data Privacy Framework and contractual clauses in its transfer information. Contact Mike for a copy of the safeguards relevant to your information. Your details are never sold or shared for another organisation’s marketing.

How long information is kept

  • Website form and leaflet records: 24 months from submission, then removed during hourly housekeeping. Records for people still signed up for marketing stay while their consent remains active. After withdrawal, records already older than 24 months are removed at the next clear-out; newer ones remain until that age. Consent evidence can remain for 24 months from its own date.
  • Visit statistics and session records: 25 months. Heatmap points: 13 months. Recordings: 30 days, or 90 days if saved for review. These are deleted during daily housekeeping.
  • Delivered notification copies in the website’s outbox are deleted after 90 days. Pending notifications remain queued until delivered or removed by the administrator. Server access logs rotate daily with 14 older logs retained.
  • Backups can retain deleted information until replaced. Automatic website deletion does not remove copies in Google Forms, downloaded exports or mailboxes. Mike must manage those copies separately. Contact him to request deletion, including these copies.

Lawful bases

  • Answering enquiries, providing requested resources and keeping relevant records: legitimate interests in responding to people who contact Mike. Where needed to arrange or deliver a booking, processing is also necessary to take steps towards or perform a contract.
  • Visit statistics: legitimate interests in understanding and improving the website. You can object at any time through Privacy settings without affecting earlier lawful processing.
  • Marketing, recordings and heatmaps: your consent. Each is optional and separately controlled. You can withdraw consent at any time without affecting earlier lawful processing.
  • Security and keeping the website running: legitimate interests in protecting the website and the information it holds.

Your choices and rights

You can ask to access, correct or delete your information, restrict or object to its use, or receive it in a portable form where that right applies. Email mike@tprmikeo.com. Mike may need information to verify your request or locate a pseudonymous analytics record.

You can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or call 0303 123 1113.
